With the latest 4Mail release, we hope to finally bridge the gap between webmail and the traditional PC based email client, providing a fast, reliable and efficient email system accessible from any PC or mobile device with a web browser and Internet connection.

Logging In
There are two types of logins, Admin User, and Mailbox User. The difference between the two is that the Admin User has the ability to retrieve mail from any POP3 mailbox anywhere (even those hosted with other providers), plus they are able to use any return address when sending mail (similar to PC based mail clients). The Mailbox User can only retrieve mail from their POP3 account, and can only use their email address when sending mail. The Admin User account is designed for the person charge of administering the main hosting account (in most cases a business owner or senior manager), while the Mailbox User account is designed for single mailbox users. Each type of login is treated as a separate user, and therefore has separate configurations.

1) Master Password - Admin User

To access the Admin User interface, please go to 4mail.com, enter your master account User Name under "Hosting User Name" and Password under "Hosting Password", and click on "Login". Logging in this way allows users to send mail using any return email address, and to check and manage messages in any POP3 mailbox hosted anywhere. The Admin Login enables you to receive mail from any POP3 mailbox. Alternatively, Admin Users can log in by clicking on the "Web Based email" icon in the account control panel (controlpanel.com).

2) Email Address - Mailbox User

Another way of logging into 4Mail is by using each Mailbox Name or email Address and the Mailbox Password. This type of login restricts users to only using their assigned mailbox as the return address when sending messages, and they are only able to check mail in the account they logged in with. POP3 Account users are also able to change their mailbox password, set up Mail Forwarding, Mail Groups, and Autoresponder for their mailbox by clicking on "Manage" after logging in. To login using a POP3 Account, please follow the steps below:

  1. Go to http://mail.yourname.com where yourname.com is your actual domain name.
  2. Enter the POP3 Account Name and Password you would like to login as. For example, if you have a POP3 Account called info@yourname.com, you would enter "info" for the "Mailbox Name" and the password you use to check mail for that mailbox.
  3. Click on "Login".

Important: Since each type of login has its own set of configurations and mail folders, logging in as both Admin User and Mailbox User at different times is not recommended. For example, if you prefer to use the Mailbox User login, you should never log in as Admin User because you will not find any of the settings, folders, or messages which have previously been saved under the Mailbox User login.

Sending Messages
You can send plain text and HTML messages with file attachments from the "Compose" page.
Step 1) If your return address is not already displayed, enter your return email address into the "From" box. If you would like your real name or company name to appear as a sender, please use the following format:

Your Real Name <youremail@yourname.com>

Alternatively, you can set up Identities to automatically insert your return email address upon selection.

Step 2) Enter the email address to which you are sending a message into the "To" field. You can send a copy of the same message to multiple email addresses at the same time by listing additional addresses in the "Cc" field separated by commas or semicolons. Recipients entered into the "Bcc" (Blind Carbon Copy) field will receive the message without revealing their address to other recipients of the same message. Blind Carbon Copy is designed to hide the fact that a message is being copied to multiple recipients or hide specific recipients' email addresses. The Cc and Bcc fields are displayed by checking the "Cc" and "Bcc" boxes to the right of the "To" field.

Alternatively, you can retrieve the recipient's email address from your Address Book by clicking on the icon next to the desired field. Once in the Address Book, simply click on the appropriate email address to select that address and return to the compose page. Also, entering any part of an email address and checking the Auto Complete box next to the "To" field will automatically attempt to return the complete address. Clicking on the icon next to the "To" field will instantly add that address to your Address Book.

Step 3) Enter your Subject into the "Subject" box.
Step 4)  Select up to ten files to send as attachments (optional) by clicking on "Attach", and then Browse to select the file to be attached. To attach more files, click on "+" and repeat.
Step 5) Enter your message into the "Message" box. By default, messages are sent in HTML format, using a simple wyswyg editor, similar to a PC based word processor. For the plain text format, click on "Text Editor". You can change your default editor in Preferences. An advanced Spell Check is also available by clicking "Spell Check". To save your message as a Template or Draft, click on "Save As" and then select "Template" or "Draft". To retrieve and load a previously saved Template or Draft, click on the Templates or Drafts folder in Receive mode, and then on the message you wish to retrieve. Signatures are loaded from the Signature menu.
Step 6) Select the Priority level of your message by clicking on "Priority", and selecting appropriate level. If you select "High", your message will be marked urgent with a red exclamation point. To request a return receipt from the recipient, click "Receipt", and then "Request Receipt".
Step 7) Click on "Send".
Identities
Identities are names and email addresses your messages are sent from. Identities are managed by clicking on "Preferences", and "Identities". To create an Identity, click on "Create", enter a name, return email address, Reply-To email address if different than return, and click on "Create Identity". To edit or delete an Identity, select an Identity in the "Identities" menu, and click on "Edit" or "Delete" respectively. To delete all Identities at the same time, click on "Delete All". There is no limit for Signatures, and all entries can be exported by clicking on "Export".
Templates
A Template is a form letter or message which is used frequently. To save any message as a template, click on "Save As", and then Template at the bottom of the Compose window. To retrieve and load a previously saved template, click on the Templates folder in Receive mode, and then on the message you wish to retrieve. To delete a template, click on the Templates folder in Receive mode, then check the message you would like to delete, and click "Delete" or press the Delete key.
Drafts
A Draft is an unfinished message which was previously saved. To save any message as a draft, click on "Save As", and then Draft at the bottom of the Compose window. To retrieve and load a previously saved draft, click on the Drafts folder in Receive mode, and then on the message you wish to retrieve. To delete a draft, click on the Drafts folder in Receive mode, then check the message you would like to delete, and click "Delete" or press the Delete key.
Stationery
The stationery appears in the background of each sent message. Stationery is managed by clicking on "Profiles", and "Stationery". To upload a Stationery file, click on "Upload", select an HTML or image file to be uploaded, and click on "Upload File". To view or delete a Stationery file, select a file in the "Stationery" menu, and click on "View" or "Delete" respectively. Please note that Stationery can only be used in HTML messages. To delete all Stationery files at the same time, click on "Delete All".

To add a word to your Dictionary, click on "Add", enter a word, and click on "Add Word". To delete a word, select a word in the "Words" menu, and click on "Delete". To delete all entries at the same time, click on "Delete All". There is no limit for Dictionary entries, and all entries can be exported by clicking on "Export".
Receiving Messages
There are two mail receiving modes, Primary Mail Client or Check Messages While Away. The default mode is set in the Preferences section.

Primary Mail Client - Selecting this mode will download all messages to your Inbox or other inbound folder defined in your Folder Rules, and automatically delete them from any remote POP3 server (there is no limit to the number of incoming POP3 servers are checked for new mail). You will not be able to download those messages with any other mail client after they appear in your inbox. This mode simulates a PC based email client such as Outlook, Eudora, etc., and should be used if you prefer to be able to access and manage your email from any location or computer/mobile device. Another advantage is that the message loading speed in the Primary Mail Client Mode is at least 5 times faster than the Away mode, which is described below.

Check Messages While Away - Selecting this mode will display new messages in your Remote Mail folder without automatically deleting them from the remote server. Messages can be selectively deleted, copied or moved to another folder.

New messages can be retrieved from any POP3 mailbox (even those hosted with other providers). Messages are retrieved by clicking on "Get Mail". If more than one POP Account is configured, you would select the account to check in the POP Accounts menu, and then clicking on "Get Mail". In Primary mode, selecting "All", will download new messages from all your mail accounts in sequence. Also, messages can be retrieved automatically at specified intervals by enabling that feature in Preferences.

Viewing Image Attachments
In certain versions of Internet Explorer, you have to enable "Show Image Download Placeholders" in order to be able to view image file attachments without having to save them first. To do this, please follow the following steps:
  1. Click on Tools and Internet Options tabs in your IE web browser.
  2. Click on Advanced.
  3. Check the Show Image Download Placeholders box under Multimedia.
  4. Click OK.

To display any image attachment after the above has been done, click on the image you are trying to view inside an open message, and then on Download, and your default image editor should pop up and display the image.

POP Accounts
This feature provides the ability to access and download messages from multiple mail accounts separately or at the same time. To configure multiple POP Accounts, click on "Edit" next to the POP Accounts menu, then click on "Add", and enter the following:
  1. Account Label - This is the name this Mail Account will be displayed under.
  2. Mail Server - This is the name of the mail server this account will connect to. For domains hosted with us, you would enter "mail.yourname.com", for others, please contact the applicable provider for their mail server settings.
  3. Port - This is the remote port required to make a POP3 connection to this server.
  4. User Name - This is the user name for the mailbox you are connecting to. For domains hosted with us, you would enter "you@yourname.com".
  5. Password - This is the mailbox password.
  6. Use encrypted SSL connection? - Check "Yes" if you would like to use a secure SSL connection when receiving mail from this server. Please note that the server must support POP via SSL (all Webmasters.com servers support this).
  7. Include when getting mail - Checking "Yes" will include this account when checking mail in all POP Accounts. Automatic message checking and interval is defined in Preferences. Please note, this feature will only work in Primary Client mode.
SMTP Accounts
This utility enables the use of remote SMTP servers for sending email. An external SMTP mail server may be preferred if email from your default mail server is being rejected by some recipients. To add remote SMTP servers, click on "▲ SMTP" at the top left of the Compose window, then click on "Add", and enter the following:
  1. Account Label - This is the name this SMTP Account will be displayed under.
  2. Mail Server - This is the name of the remote SMTP mail server this account will connect to.
  3. Port - This is the remote port required to make an SMTP connection to this server.
  4. Use encrypted SSL connection? - Check "Yes" if you would like to use a secure SSL connection when sending mail through this server. Please note that the server must support SMTP via SSL (all Webmasters.com servers support this).
  5. SMTP Authentication? - Check "Yes" if this server requires remote users to authenticate before relaying mail (most SMTP servers should require this).
  6. User Name - This is the user name required for SMTP Authentication (if "Yes" is checked in #4 above).
  7. Password - This is the password required for SMTP Authentication (if "Yes" is checked in #4 above).
Mail Folders
Mail Folders enable messages to be stored or sorted in separate locations for easier access. To view the contents of any folder, simply click on that folder. Folders can be created, renamed, or deleted by checking the appropriate folder, clicking on "Edit", and then on the appropriate function. Any folder except the Remote folder can have all of its contents instantly deleted by checking that folder, and clicking on "Empty Folder". The following folders are set up by default, and cannot be renamed or deleted:
  1. Remote - This is a virtual folder, as it allows viewing messages on a remote POP server without automatically deleting them. Accessing messages through the Remote folder provides the ability for those messages to be downloaded with another mail client such as Outlook or Eudora at a later time. Since this folder is not really a folder, but is the remote mail server itself, the messages are not saved in your webmail client, and remain on the server until selectively deleted.
  2. Inbox - This is the default folder for new messages in Primary Mail Client mode.
  3. Sent - This is the default folder for storing sent messages. Messages in the Sent folder are purged automatically based on the corresponding settings in Preferences.
  4. Deleted - This is the default folder for storing deleted messages. Deleted messages can be restored by moving desired message(s) to another folder. Messages in the Deleted folder are purged automatically based on the corresponding settings in Preferences.
  5. Flagged - This is the default folder for storing flagged messages. If enabled in Preferences, all flagged messages are automatically copied into this folder.
  6. Drafts - This is the default folder for storing message drafts. Drafts are saved while composing a message for later use. To load a previously saved Draft, simply click on the Drafts folder, and then on the desired message. The selected draft will then be launched in a new Compose window.
  7. Templates - This is the default folder for storing message templates. Templates are saved while composing a message for to be used again as form letters or other frequently used pre-formatted messages. To load a previously saved Template, simply click on the Templates folder, and then on the desired message. The selected template will then be launched in a new Compose window.
  8. Spam - This is folder provides direct access to your Spam mailbox without the need for a separate login.
Navigating Messages
You can use the up and down arrow keys on your keyboard or at the top of the message list to navigate through messages. By default, messages are automatically opened in the bottom frame when you select any message by clicking on it or selecting it by scrolling, and keeping it selected for at least 5 seconds. If you prefer to only open a message when it is clicked, and not by scrolling, you can disable that feature by clicking on "Preferences", and then checking "No" for "Open messages automatically when scrolling". Also, if you prefer to display messages in a whole frame instead of the bottom frame below the message list, you can disable the Bottom Frame feature by clicking on "Preferences", and then for "Open messages in", checking the "Whole Frame" option. Viewing messages in the bottom frame on the same screen as the message list reduces message access time, as there is no need to navigate back and forth to the message list.
Sorting Messages
Messages can be sorted by From Address, Subject or Date by clicking on the desired heading. Clicking on a heading twice will sort in reverse order.
Marking Messages
Messages can be marked Read, Unread, Flagged, and Unflagged. Messages that appear in bold face are Unread, and are automatically marked as Read when the message clicked for the first time. To mark any message, click on the checkbox to the left of the message(s) to be marked, click on "Mark As", and then on the desired type of marking in the menu below.
Viewing Message Headers
To view any message in its entirety along with all headers, click on "Headers" while viewing the message. To return to the formatted message, click on "Headers" again.
Finding Messages
To search for any message, enter a keyword in the search box at the top right of the message list, and click on "Go" or the "Enter" key. For expanded search criteria, click on "Edit", and then "Advanced Search" at the top of the folder list at left.
Deleting Messages
To delete any selected message(s), simply click on the checkbox to the left of the message and click on "Delete" or press the "Delete" key on your keyboard. To delete all messages at once, check the box at the top left of the message list, and then click "Delete" or press the "Delete" key. In the Remote folder, each message is saved until it is deleted or retrieved by an email client program such as Outlook. Deleted messages are automatically stored in the Deleted folder until purged.
Restoring Messages From Backup

All attachments sent with the original message will also be displayed, and can be selectively unchecked to exclude from forwarding with the new message. Messages can also be forwarded along with all original headers as an attachment. To forward any message(s) as an attachment, click on the checkbox to the left of the message(s) to be forwarded, and then on "Forward" at the top of the message list.
Mail Filters
Mail Filters automatically sort incoming messages into designated folders as the messages are downloaded. The following Filters can be set for each Mail Folder:
  1. From Filter - Filters incoming messages by their From Address.
  2. To Filter - Filters incoming messages by their To Address.
  3. Cc Filter - Filters incoming messages by their Cc Address.
  4. Subject Filter - Filters incoming messages by their Subject.
  5. Body Filter - Filters incoming messages by their text body.

To manage any filter, click on the checkbox to the left of the desired folder in the folder list, then click on "Edit", and then on "Folder Rules". You can then select the Rule Type for each Mail Folder in that menu, and click on "View". Filtering Rules can be created by clicking on "Create", entering a New Rule, and then clicking on "Create Rule". To delete any rule, select that rule in the Rules Menu, and click on "Delete". To delete all rules at the same time, click on "Delete All". Please do not confuse the Mail Filters feature with the Spam Filter, as the latter is specifically designed to filter out Spam, while Mail Filters only sort mail, and will not be effective in blocking Spam.

White List
Each mailbox has its own White List to allow messages from certain domains or email addresses to be delivered without being filtered for Spam. Each White List is managed by clicking on "Preferences", and then "White List". To add an entry, click on "Add", enter a name, email address, or domain, and click on "Add Entry". To delete an entry, select an entry in the "Entries" menu, and click on "Delete". To delete all entries at the same time, click on "Delete All". There is a limit of 1000 White List entries for each POP account, and all entries can be exported by clicking on "Export".

Whitelist Names/Greetings - It is safe to assume that most messages which begin with your first name or preferred greeting on the top line are usually not Spam. You can automatically Whitelist such messages by adding the following entry to your White List:

name~bob

Of course you would change "bob" to your preferred greeting without any trailing punctuation. You can also have multiple name~ entries for other recipients. We recommend that you not use this feature if the name of your mailbox contains the name you use as a greeting. For example, if your email address is bob@yourname.com, Spammers may use Bob as a greeting in their Spam just by removing the domain name from your email address. Therefore, for maximum effectiveness, you should use an email address such as bjones@yourname.com to avoid having Spam with your first name as a greeting. Then you can safely Whitelist "Bob" because the odds are that if a message starts with "Bob," or "Hi Bob," it was sent by someone who knows you. Please note that the message will only be Whitelisted if the name appears as a greeting at the beginning of the message.

Spam
We have developed our Spam Filter with one simple philosophy, if after seeing a message, a person can decide whether or not it is Spam, software can be created to make that same decision nearly as effectively. Our logic based method of filtering is designed to not only eliminate most Spam, but also keep the number of good messages being tagged as spam to a minimum.

The most essential feature of our Spam Filter is that it analyzes the content of each message based on a user defined set of rules in conjunction with intelligent content filtering developed by our programmers based on past and emerging spam techniques, versus blocking incoming mail from ISP's whose IP addresses appear on a third party blacklist for allegedly relaying Spam (knowingly or unknowingly). Not relying on the latter, you retain full control over your mailbox, as filtering rules can be added and deleted as you see fit. Relying on 3rd party blacklists puts others in charge of your mail, as they are free to block any ISP they choose for any reason at any time. The end result, our proprietary server side Spam Filter with its default configuration effectively blocks over 98% of Spam before it even gets delivered, and best of all, you do not give up any control.

There are seven parameters for filtering Spam: From Address, To Address, To Host, Cc Address, Message Subject, and Message Body, and Message Headers, plus a Virus Attachment filter. Each filter can have its own set of rules for deleting messages containing a certain combination of characters. The "White List" feature provides the ability to have a list of names, addresses, domain names, or any alphanumeric string of characters which forces the delivery of messages containing any entry on that list in various pre-defined places, thus only filtering the message for viruses. Messages sent inside your server or with a certain greeting can also be Whitelisted. The "Super White List" are senders who have the maximum level of trust, and whose messages are not filtered at all.

The "Notify Sender Of Non Delivery" option automatically notifies senders of messages rejected for Spam that their message was not delivered, along with the reason why, and a secure link for using a trusted, web based email client to re-send it. This ensures that no message gets deleted without notice, and since Spammers mostly use forged return addresses which cannot receive replies, legitimate senders will get the ability to have their messages delivered regardless of content.

The "Tag And Deliver Spam Messages" option labels each suspected Spam message in the subject line, and delivers it to its designated recipient without blocking. This enables the delivery of all messages, and allows local blocking rules to be used more effectively.

The "Auto Updating Spam Rules" are real time rule feeds which change along with spammers' tactics without any user intervention. We offer three different rule feeds, High, Medium and Low, based on the level of filtering needed.

The "Quick Setup Wizard" makes it easy to automatically configure Spam Rules, including creating a Spam mailbox, the ability to subscribe to our real time Auto Updating Spam Rules, and other common filters.

Spam Rules are managed by clicking on "Preferences", and then "Spam Filter". We highly recommend using the Quick Setup Wizard to configure your Spam Rules, as doing so manually could be quite time consuming.

IMPORTANT: If any Mailbox Specific Spam Rule is set for the Subject, Body, Headers or Viruses, the corresponding Global Rule (which is set through this utility) will be ignored. Other rules not set in Mailbox Specific Rules will still apply. For example, if you have "viagra" in your Mailbox Specific Subject Rule, and "drugs" in your Global Subject Rule, messages with "viagra" in the subject will get rejected, while messages with "drugs" will get through. Mailbox Specific Rules are intended for users who prefer to control their own spam filters rather than having their mailbox filtered using the rules set for the entire domain. White List entries in Mailbox Specific Rules are combined with those in the Global Rules.

Address Book
The Address Book is designed to store and manage email addresses and other information for frequently used contacts. After clicking on "Address Book", entries can be added manually by clicking on "Add New Contact" or imported from Outlook by clicking on "Import Addresses". Each entry can be viewed and edited by either clicking on the View Info icon to the left of each entry or the Contact Name field. To delete any selected entry, click on the checkbox to the left of the desired entry(ies) and click on "Delete Selected". To delete all entries at once, click on "Delete All". To send a message to any selected contact, either click on the checkbox to the left of the desired entry(ies), and then on "Send To Selected" or simply click on the desired email address. There is no limit for Address Book entries, and all entries can be exported by clicking on "Export Addresses".

Sorting Contacts - Contacts can be sorted by either Name or email Address by clicking on the desired heading. Clicking on a heading twice will sort in reverse order.

Finding Contacts - To search for any contact, enter a keyword in the search box at the top of the contact list, and click on "Search", alternatively, you can click on any letter of the alphabet for a listing of all contacts beginning with that letter.

Notepad - This feature allows storage of miscellanious notes. The Notepad is managed by clicking on "Notepad" in the Address Book section. To create a Note, click on "Create", enter the Note Name, Message, and click on "Create Note". To edit or delete a Note, select a Note in the "Notes" menu, and click on "Edit" or "Delete" respectively. To delete all Notes at the same time, click on "Delete All". There is no limit for Notepad entries, and all entries can be exported by clicking on "Export".

Calculator - To access the Calculator, click on "Calculator" in the Address Book section.

Downloading
Any text or HTML message can be downloaded along with all headers by clicking on "Download" at the top or bottom of that message.
Printing
Any message can be printed by clicking on "Print" at the top or bottom of that message. An alternative and sometimes more reliable way to print a message is to first download that message to your computer, and then print it using your favorite file editor.
Backup And Restore By FTP
This webmail client has the ability to back up and restore all settings and messages through FTP. The "webmail" directory in your root FTP directory contains all webmail data including messages, Address Book, Preferences, Folders, White List, as well as all other settings and configurations. You can either download the webmail directory to make a backup of your webmail contents, or upload it to restore previous settings. This is also an excellent tool for migratime webmail from one server or account to another.

* This function is not available for parked domains.

PDA / Cell Phone Access
This application can be accessed through various PDA's and cellular telephone devices without having to install any special wireless email software, or paying additional fees for accessing your cellular provider's mail servers. The following devices have been tested, and are compatible for accessing this system:
  • Apple iPhone.
  • Google Android enabled devices.
  • Selected cell phones with a Pocket IE web browser or any other mobile browser supporting JavaScript, frames, cookies, and CSS.

The keyboard command to copy is Ctrl C, and to paste is Ctrl V. If your request takes more than 2 minutes to process or the decrypted results are blank, either your original encrypted text was corrupted or it was encrypted using another PGP key.

Signing - To generate a verifiable digital signature with your PGP key, enter your name or any text you would like to be used as a signature to verify a document's authenticity into the input box, and click on "Sign". An encrypted PGP signature will be returned which you can then copy and paste into an email or file. The receiving party would then decrypt your signature with your key or by using this utility.
